In accordance with the current ÐÔÎÝÓéÀÖ's Procedural By-Laws, the Board meets on the following schedule:

Regular Public Board Meetings begin at 7:00 p.m. the first and third Tuesday of each month, except for January, March, July, August, September and December.

The September and January regular meetings of the Board will take place the third Tuesday of the month.

The March meeting of the Board will take place the Tuesday after March Break.

The Organizational Meeting of the Board will take place in November
-
The December meeting of the Board will take place on the second Tuesday of the month.
The meeting agenda packages are published the Friday preceding each meeting and are available in hard copy at the Board's central office by 2:00 p.m. Agendas for the Public Meeting can be accessed through the Board's website.
Meetings of a Committee of the Board, including a Committee of the Whole Board, may be closed to the public in accordance with the Education Act. The Board will meet in Private Session, closed to the public when the subject under consideration involves:

the security of the property of the Board;
-
the disclosure of intimate, personal or financial information in respect of a member of the Board or committee, an employee or prospective employee of the Board or a pupil or his/her parent or guardian;
-
the acquisition or disposal of a school site;
-
decisions in respect of negotiations with employees of the board;
-
litigation affecting the board;
-
a matter in which the Board appointed legal counsel has advised a strong indication of probable litigation or an investigation by the Ontario Ombudsman, which may affect the Board; and
-
an ongoing investigation by the Ontario Ombudsman affecting the Board.
How to Get on the Board Agenda
Please note that all ÐÔÎÝÓéÀÖ public Board meetings are streamed live on YouTube and are available for viewing on our channel after the meeting closes.
Seating is strictly limited to 133 persons in our public gallery on a first-come, first-served basis. The public is reminded that Board meetings and observers do not have an opportunity to speak at or during the meeting unless they are an approved delegation or have been approved on the Speaker's List.
Individuals or groups requesting permission to appear and speak before the Board or a Committee of the Board must notify the Director's Office by noon on Monday prior to the meeting and provide specific information with regard to the nature of the presentation and the related agenda item. When the Monday prior to the meeting is a holiday delegations must notify the Director’s Office by 4:00 p.m. on the Friday prior to the meeting. Approved delegations will be limited to 10 minutes each on the agenda and must provide a written summation of their remarks no later than the time of the meeting.
Delegations are limited to 3 per agenda item. Additional delegations maybe added at the discretion of the Chair and the Director prior to agenda approval or referred to the Speaker's List.
Any person or group wishing to address the Board or Standing Committee under the following conditions may sign up on the Speaker's List:
- an item is not on the agenda of the meeting; or
- a person or group has not met the timeline to be placed on the published agenda as a Delegation; or
- the maximum number of delegations has been reached for that meeting.
Individuals will be required to sign up on the Speaker's List no later than 6:45 p.m. on the day of the meeting. The speaker is limited to 5 minutes.
The number of individual speakers or groups is limited to 6 per meeting unless an additional number are approved by a majority of Trustees.
The Chair may decline to place a delegation or speaker on the agenda if they have addressed the Board on the same matter within the previous five months or the subject is not within the jurisdiction of the Board. In the case of a PARC it will be at the discretion of the Board. However, a written submission may be accepted and distributed to Trustees.
When addressing the Board or an individual Trustee, statements and materials must be free of content which is contrary to the Ontario Human Rights Code and other laws of Ontario and Canada. While in attendance at a Board meeting or Standing Committee meeting behaviour must be courteous and respectful at all times. All comments must be addressed to the Chair. Placards, signs and backpacks are not permitted in the boardroom. The Board is committed to the protection of employees, students, visitors and contractors in accordance with
Policy and
Regulation Health and Safety, Workplace Violence and Workplace Harassment.
During Delegations or Speakers, Trustee may not put forward motions, enter into any debate or discussion on the matter. However they may ask questions for clarification and the question period will be limited to five minutes for each speaker. Once all questions have been put or the time limit has been reached, the Chair shall thank the speaker on behalf of the Trustees.
After each speaker, the Chair may:
- acknowledge receipt as information;
- refer the matter to the Director of Education for subsequent review and comment and/or appropriate actions; or
- refer the matter to a Standing Committee for review and a report.
